Rebecca and Luke have over 8 years combined experience producing property inventory reports for letting agents and landlords. Prior to running Acorn, Luke worked as a Property Manager at a couple of letting agents before training to become an inventory clerk. Rebecca joined the company in 2014 following working in marketing and advertising roles.

Our services

Inventory Reports

A detailed dictated property inventory report complete with overview photographs of each room and external areas. Document includes meter readings, an area to record keys given to the tenant, an end of tenancy checklist and a column for any check in amendments. The report can be customised to meet the client’s needs.

Check In Reports

A Check In report is a detailed summary of the property at the moment that the tenants move in. Our clerk attends the property with a copy of the property inventory report and ensures the contents of the inventory are agreed to by both parties. Any issues within the property are highlighted. Once the tenant and clerk are happy with the contents of the report, it is signed and dated by both. Our clerk can request that the tenants sign for any property keys that are handed to them.

Interim / Inspection Reports

Inspections involve us visiting the property to assess the general standard of upkeep and condition. We observe and report anything that may affect the terms of the lease, such as smoking and pets, and any damage or issues such as damp. If the tenant is present and makes any comments regarding the condition of the property, these will also be included. We do not use the original inventory during an inspection.

Check Out Reports

Conducted at the end of a tenancy, a Check Out report details any damages / changes in condition that have occurred during the tenancy and includes photographs and a description of each issue. The original Inventory / Check In report is used as the point of reference and, where possible, the clerk will detail on the Check Out report where they believe the liability lies. The report includes the final meter readings and details any keys returned to the clerk, should this take place.

How Can I Book a Job?

As we spend much of our day driving or dictating reports, it can be difficult to answer the phone at times. Therefore, it may be better to send us an email to info@acorninventories.com and one of us will get to you as soon as we can.

I am a landlord. Why might I need your services?

By having a property inventory report produced prior to the start of a tenancy, you are ensuring that an accurate account of the condition of the property has been recorded and agreed to by both yourself and the tenant(s). Therefore, when the tenancy ends, this report can be used to ascertain any changes in the condition of the property.

Once these changes have been compiled in the form of a check out report, we are able to give our professional opinion, where possible, on where the liability lies. Should a dispute arise, these reports can act as valuable evidence

I am a letting agent. Why might I need your services?

By using an external company to produce your property inventory / check in/ inspection / check out reports, you can free up valuable time. All we require is an email detailing the service wanted, property address, date the service is due and any other relevant details. We will collect and drop off keys from your offices or can meet a landlord or tenant at the property, should this be of more convenience.

We are APIP accredited and offer a fair pricing structure for all our services. As we produce numerous reports each day, we are both efficient and thorough at what we do. When working with clients, we take seriously that we are representing your business, and therefore operate in a professional and diligent manner at all times.

How can I book a job?

Do you operate all year round?

As a small team of two, we very rarely take any holiday days. Where we do, it is usually only two to three days maximum and we give our clients plenty of notice. We will work extra hours in the run up to and after these days to ensure all work is completed.

We usually take off Bank Holidays and the minimal days over Christmas and New Year, such as Christmas Day, Boxing Day, New Year’s Eve and New Year’s Day.

What areas do you cover?

We cover all Leeds and Bradford postcodes as well as some surrounding areas. If you are close by and are unsure if we cover your area, please do get in touch and we will do our best to accommodate.

How are your inventory reports produced?

Our property inventory reports are produced using a dictaphone and dictation software. We then complete the reports in the office by adding the photographs, meter reads and any other details that need to be included. All our reports include date and time stamped photographs. A PDF version is then emailed to the client.

Does the inventory require a separate visit to the check in or check out?

Due to the way our inventories are produced, we cannot conduct the inventory on the same visit as the check in. This is because the inventory reports are completed in the office therefore these two services would have to be conducted on separate visits to the property.

It may possible, however, for us to conduct a new inventory for the next tenancy during the same visit as the check out. This may be the case where the property has been left in an ‘inventory ready’ condition by the exiting tenant.

When will I receive the report and in what format?
